MinuteHaul / Guides / Meeting-tool switch checklist
The meeting-tool switch checklist
Free, printable, no email required. Switching from Fireflies, tl;dv, Otter or Granola? Work through this list top to bottom and you will not lose your meeting archive. Every vendor fact links to the vendor's own help page (checked Oct 24, 2026). Disclosure: MinuteHaul publishes this checklist.
Checkboxes are for on-screen use and are not saved. For the full tool-by-tool comparison table, see export your meeting archive before switching tools.
Phase 1Two weeks before: take inventory
- Most export features depend on the plan, so export while the paid plan is still active.
- You will compare this number against what you export.
- tl;dv: both the meeting owner and the downloader need Pro or Enterprise to download a transcript. Granola: the CSV only includes notes you own. [tl;dv: how to download transcripts] [Granola: exporting notes]
- If it is on, older transcripts are already gone; check Settings > Preferences. [Granola: transcript auto-deletion]
- Transcripts, summaries, recordings, or all three? Transcript exporters often skip media.
Phase 2One week before: run the exports
- Free for all users. Submit the form, confirm the email; a ZIP link arrives in 24 to 48 hours and stays valid for 7 days (TXT transcripts, TXT summaries, MP3/MP4, JSON metadata). Request it early. [Fireflies: export your account data]
- tl;dv says it does not support bulk transcript downloads or exports; transcripts are copied one at a time and recordings download one at a time. Its API is Pro or Business only. [tl;dv: how to download transcripts] [tl;dv: how to download your recording] [tl;dv: API]
- Select conversations in My Conversations (scroll to load them all before Select all) and Otter emails a ZIP link. Basic exports single conversations as TXT only; paid plans add DOCX, PDF and SRT. [Otter: bulk export conversations] [Otter: export conversations]
- Settings > Profile > Generate CSV. Emailed within a few hours, one export per 24 hours, link expires after 24 hours. Notes without a summary are skipped. On Enterprise it is off by default. [Granola: exporting notes]
- Fireflies: MP3/MP4 per meeting on Pro and higher. tl;dv: per meeting, Pro or Enterprise plus editor or admin rights. [Fireflies: download transcripts, summaries and recordings] [tl;dv: how to download your recording]
Phase 3Before you cancel: verify
- Fireflies links last 7 days; Granola links last 24 hours. [Fireflies: export your account data] [Granola: exporting notes]
- Exported meetings vs. the count from step one. Otter Select all only picks loaded rows; Granola skips summary-less notes. [Otter: bulk export conversations] [Granola: exporting notes]
- Check speaker names, timestamps and that the transcript is complete.
- For example a local drive plus a cloud folder.
Phase 4Switch day
- Markdown and CSV open in almost anything (Notion, Obsidian, Google Docs, Sheets).
- Plan-gated features (Fireflies downloads, tl;dv API, Otter bulk export, Granola API) go away with the plan. [Fireflies: download transcripts, summaries and recordings] [tl;dv: API] [Otter: bulk export conversations] [Granola API]
- Anything recorded after it is not in your archive.
Leaving tl;dv or Fireflies? Skip the one-by-one part.
MinuteHaul pulls every transcript from tl;dv or Fireflies (Fireflies support is in beta) into one ZIP in your browser: a Markdown file per meeting plus an index.csv. It uses each tool's API, so tl;dv needs a Pro or Business plan [tl;dv: API]. It does not export Otter or Granola, and it exports transcripts and metadata, not audio or video. Your 10 most recent meetings are free in the web exporter, then $19 one-time for the whole archive.
