How to export your Otter.ai transcripts before you cancel

Short answer: cancelling Otter does not delete your conversations, but it moves you to the Basic free plan, where only your 25 most recent conversations stay accessible and older ones are archived (Otter help, updated Aug 31, 2026). Bulk export is only available on Otter's Business and Enterprise plans (Otter help). So if you are on Business, bulk export everything before you cancel. If you are already on Basic, archived conversations can still be exported one by one, without upgrading (Otter help).

What MinuteHaul does and doesn't support

The catch most guides miss: bulk export is plan-gated

Some third-party guides describe ticking Select all and exporting everything as if anyone can do it. Otter's own help center says the bulk export feature is only available on the Business and Enterprise plans (Bulk export conversations). On other plans you export each conversation from its own page. That is why the order matters: bulk export first, cancel second.

Option 1: bulk export (Business and Enterprise only)

  1. Go to My Conversations (or the Channel, Direct Message or Folder that holds the transcripts).
  2. Tick at least one conversation; the Select all checkbox only appears after that.
  3. Scroll down until every conversation has loaded. Otter says Select all only selects the conversations loaded on the current page.
  4. Click Select all, then the Export icon at the top, choose the format(s) and settings, and click Export.
  5. Otter emails you a link to download a ZIP file with your transcripts when it is ready.

Notes from Otter: bulk exporting audio is not available in Channels or Direct Messages (use the All Conversations page or the conversation page instead), and adblockers can stop exports from working, so disable yours if an export fails (Otter help).

Option 2: export one conversation at a time (any plan)

  1. Open the conversation, click the three dots in the top corner, then select Export.
  2. Pick a format: TXT, DOCX, PDF, SRT or Clipboard. Basic plan users can export only TXT; Otter says you need a paid plan for the other formats and additional settings.
  3. Choose options such as show speaker names, show timestamps, show highlights, show images, or combine paragraphs, then click Export.
  4. For audio, turn on Audio before clicking Export. Audio downloads as MP3.

Already cancelled? Your older conversations are archived, not gone

Otter says archived conversations are not automatically deleted after a certain amount of time, and you can export an archived conversation without unarchiving it or upgrading your plan. Otter also describes a second route: export and delete conversations from your 25 most recent, and the next most recent archived conversations become available, up to the 25-conversation limit (Otter help). Deleting is permanent, so only delete after you have checked the export file.

One more detail from the same article: archiving follows the conversation owner's plan. If you cancel, people you shared conversations with lose access to the ones that become archived.

Pre-cancel checklist

  1. Check your plan. If it is Business or Enterprise, do the bulk export now, while you still have it.
  2. Before bulk exporting, scroll My Conversations to the bottom so Select all really covers everything.
  3. Pick DOCX, PDF or SRT while you are still on a paid plan if you need them; after cancelling, Basic exports are TXT only.
  4. Want the recordings? Export audio (MP3) too; it is a separate toggle.
  5. Check Channels and Direct Messages separately; bulk audio export is not available there.
  6. Disable your adblocker during exports.
  7. Open the ZIP from Otter's email and spot-check a few old and new conversations before you cancel.
  8. Copy any Summaries, Outlines or Action Items you need; those are copied, not exported as files.
  9. Tell anyone you shared conversations with that archived ones will become inaccessible to them.

FAQ

Does cancelling Otter delete my conversations? No. Otter's help center says conversations remain in your account when you cancel, downgrade or change plans; they are only deleted if you delete them, delete your account, or a workspace admin deletes it. After cancelling, the Basic free plan's conversation history limits apply.

Can I bulk export all my Otter conversations on the free plan? No. Otter's help center says bulk export is only available on the Business and Enterprise plans. On Basic you export conversations one at a time, as TXT only.

Why didn't Select all export all my Otter conversations? Otter says Select all only selects the conversations loaded on the current page. Scroll down until every conversation is loaded, then click Select all.

Can I export archived Otter conversations without upgrading? Yes. Otter's help center says you can export an archived conversation without unarchiving it or upgrading your plan.

Does MinuteHaul export from Otter? Not yet. MinuteHaul supports tl;dv (web exporter and CLI), Fireflies (web exporter, beta) and Avoma (CLI beta).
